The admin officer will be responsible for supporting the central administration function.

Undertaking a range of administrative tasks including, but not limited to: 

  • Being the first point of contact for all incoming email and telephone enquiries, as well as direct referrals 
  • Providing robust information, advice and guidance to all service users 
  • Accurate and timely data-input across a range of systems including start and completion data across multiple projects
  • Completion of timely and accurate registrations, in accordance with Awarding Organisation requirements and internal quality processes
  • Exam invigilation, in accordance with Awarding Organisation requirements and internal quality processes
  • Liaising with Tutors/Teachers to ensure a seamless learner experience.
  • Tracking learner destinations.
  • To secure a location for any training course to be held when required. 
  • Claiming certificates and sending to learners, gathering and collating learner feedback, following up on learner progression data
  • Using a range of Management Information Systems to include but not limited to: Solution9, PICS, The Apprenticeship Service, Learner Record Service, Surpass, OneFile, LARS and other awarding organisation platforms. 
  • Ensuring course resources are available for the commencement of the course
  • Following up any referrals in a timely manner
  • Monitoring and managing mail boxes
  • Proactively contributing to team and organisational meetings and events
  • Being responsible for keeping accurate and up to date records, ensuring data protection and confidentiality policies are adhered to at all times.
  • Continuously reviewing systems, processes and procedures and implement improvements efficiently and effectively 

Development 

  • Being responsible for own professional development 
  • Being involved in broader workings of the organisation (e.g. through involvement in working groups such as IAG standardisation meetings) 

General 

  • Undertake all duties in accordance with Runway Training’s policies and procedures with particular reference to Health & Safety and Equal Opportunities.
