Full description of vacancy:

Main Duties & Responsibilities

  • Efficient use of systems including Merlin, Outlook, Excel, and Word
  • To prepare and despatch standardised letters and e-mails as directed to the required standards and timescales.
  • Opening post and distributing to the right individuals / department heads.
  • To respond to basic requests for information relating to the accounts & purchasing department.
  • To undertake filing, photocopying, collation of information and general clerical work on behalf of the Accounts Team.
  • Assisting Sales Ledger with simple customer queries, i.e., copy invoices/PODs and new accounts etc.
  • Processing invoices/receipts as and when required.
  • Checking suppliers order confirmations against our purchase orders and correcting shortages / inaccuracies as required.
  • Chasing late deliveries from suppliers.
  • Communicating with the Internal Sales and Purchasing teams in relation to any supplier delays or shortages.

Desired skills:

  • Good knowledge of using Microsoft Word, Excel, and Outlook.
  • The ability to apply the principles of confidentiality and work within a highly confidential framework.
  • To deal effectively by telephone, email and in person with a wide range of people.
  • To use ICT effectively with the ability to learn and use financial data.
  • Willing to work towards a relevant apprentice qualification. i.e., AAT Level 2

  • Excellent communication.
  • Organised and able to work to deadlines.
  • Ability to priorities tasks, flexible and adaptable.

Desired qualifications:

GCSEs (or equivalent) – Grades 5(C) – 9(A*), including Maths

Future prospects: 

  • Progress to AAT Level 3
  • Advance in Accounts or Procurement departments

Working week

Working Week is 40 hours. Daily times - 08:00 – 17:00. Lunch is 1 hour - unpaid
